Ohana Bins, LLC ("Ohana Bins", "we", "us") provides residential trash bin cleaning service. This policy explains what information we collect when you use our website and customer portal, how we use it, and the choices you have.

Information we collect

  • Account and contact details — your name, email address, phone number, and password (stored only as a secure hash).
  • Service address — the address where we clean your bins, including any access notes you provide.
  • Appointment records — the cleanings you book, their status and history, notes you add for our team, and the plan or credits tied to your account.
  • Service photos — before-and-after photos our technicians take of your bins and the service area.
  • Billing records — the amount, date, plan, and status of your payments, plus receipts and invoices.
  • Support and feedback — messages you send us, help requests, reviews, and referrals you submit.
  • Basic technical data — standard log information such as device and browser details used to keep the site secure and working.

How we use it

  • Providing the service you booked and keeping your service history.
  • Scheduling appointments, assigning technicians, and planning daily routes.
  • Processing payments, subscriptions, service credits, and refunds.
  • Sending confirmations, reminders, completion notices, and other messages about your account and appointments.
  • Answering support requests and resolving questions about a visit.
  • Understanding demand and improving our service, using aggregated business reporting.
  • Protecting against fraud, abuse, and security incidents.

Payment information

Card payments are handled by a third-party payment processor. Your full card number is entered on their secure checkout and is never stored by Ohana Bins. We keep only the record of the transaction — amount, date, plan, status, and receipt links — so we can support your billing history.

How we share information

We do not sell your personal information. We share what is necessary with categories of service providers who work on our behalf and are only permitted to use the information to provide their service to us:

  • Payment processing and invoicing
  • Email delivery and notifications
  • Mapping, geocoding, and route planning
  • Application hosting, database, and file storage

Our technicians and office staff see the information they need to do their jobs — for field staff, that is limited to the appointments and customers assigned to them. We may also disclose information when required by law or to protect our rights, safety, or property.

Location information

We convert your service address into map coordinates so we can plan efficient routes and give technicians directions. When a technician starts or completes a job, we may record their device location to confirm the visit happened at your address. We do not track customer device location.

Communications

Messages about your account and appointments — confirmations, reminders, completion notices, receipts, and password resets — are part of the service, and you will receive them while you have an active account. Promotional messages are optional: you can opt out using the unsubscribe link in the message or by emailing us. In-app notifications are available in your account.

Retention

We keep your account, appointment, photo, and billing records for as long as your account is active and afterward as needed for support, accounting, and legal requirements. When information is no longer needed, we delete it or keep it only in aggregated form that does not identify you.

Security

We use encrypted connections, hashed passwords, role-based access, and per-account access rules so customers see only their own records and staff see only what their role requires. No system can be guaranteed completely secure, so please use a strong, unique password and let us know if you suspect a problem with your account.

Children

Our service is intended for adults arranging service for their household. We do not knowingly collect information from children under 13. If you believe a child provided us information, contact us and we will remove it.

Your choices

  • View and update your name, phone, email, and address any time from your account profile.
  • See your full appointment and billing history in your account.
  • Cancel a subscription from your billing page to stop future renewals.
  • Request a copy of your information or ask us to delete your account by emailing us. We will honor the request unless we need to keep records for accounting or legal reasons.

Changes to this policy

If we update this policy, we will change the date at the top of this page and, for meaningful changes, let you know by email.
